Privacy Policy

1. Information We Collect

Information you give us directly, such as when you:

• book a session, program, or reading, or manage your account through our client portal (Practice Better, at freywellness.practicebetter.io);
• fill out an intake form, complete a wellness self-assessment (like the Wheel of Life / Create My Wheel tool), or otherwise share health, wellness, or personal-goal information with us as part of coaching, hypnosis/QHHT, NLP, Pilates, astrology, or support-circle services;
• contact us through the contact form on our Site — which collects your name, email address, and optionally your phone number, the topic of your message, your preferred way to be contacted, and your message itself — or by email;
• purchase supplements through our Fullscript dispensary link;
• attend a virtual session with us over Zoom; or
• otherwise voluntarily provide information to us.

This can include your name, email address, phone number, and — depending on the service — information about your health, wellness goals, physical condition, or other personal circumstances you choose to share with us. Payment processing is handled by our payment processor, Stripe, and, for booking-related invoicing, by Practice Better; Frey Wellness does not directly collect or store your full payment card number.

The Wheel of Life / Create My Wheel tool lets you rate ten life-area categories (Health, Relationships, Personal Growth, Spirituality, Career, Finances, Fun, Home Environment, Social Life, and Creativity) on a 1–10 scale. Your in-progress ratings are saved only in your own browser’s local storage on your device — they are not sent to us unless you choose to email your results to yourself (see below). You can also download an image of your completed wheel directly to your device; that download does not send any information to us.

If you choose to email your Wheel of Life results to yourself, the Site sends your email address and your wheel ratings to a small program we run (a Cloudflare Worker), which then sends that information on to our business email address through Google Workspace. This information is not stored in any database — it passes through as an email, the same as if you’d emailed it to us directly.

The contact form works the same way: when you submit it, the information you enter (name, email, optional phone number, topic, preferred contact method, and message) is sent through a Cloudflare Worker to our business email address through Google Workspace, and is not stored in a separate database.

A sample Letter of Medical Necessity. Our Site offers a downloadable sample Letter of Medical Necessity, pre-filled with Frey Wellness’s own business information, that you can take to your own doctor’s office if you’re seeking their signature for HSA/FSA reimbursement purposes. This is a static template — no information about you is collected or transmitted through this tool, and we do not send this letter to, or share your information with, any doctor or other third party. What you do with the letter once you’ve downloaded it is entirely up to you.

Information we collect automatically. Like most websites, our Site automatically logs some technical information when you visit, such as your browser type, device type, general (non-precise) location inferred from your IP address, pages viewed, and referring page. Our Site also uses Cloudflare for DNS, content delivery, and security (for example, to help block malicious or abusive traffic), which may log standard technical and security information — such as IP address and request data — as part of providing that service.

Cookies and similar technology. Our Site loads fonts directly from Google Fonts (fonts.googleapis.com / fonts.gstatic.com), which can cause your browser to send your IP address to Google as part of loading those fonts. We do not currently use advertising or social-media tracking pixels (such as Google Analytics/gtag, Meta/Facebook Pixel, or similar) on the Site, based on our review as of September 28, 2026. If that changes, we will update this policy.

Local, on-device storage. In addition to the Wheel of Life in-progress ratings described above, our recipes section can save your “favorite” recipes in your browser’s local storage on your own device. Both of these — your saved recipe favorites and your in-progress Wheel of Life ratings — stay on your device only and are never sent to us.

Social sharing. Our recipe pages include a Pinterest “save” button. Clicking it opens Pinterest in a pop-up window on Pinterest’s own site; we don’t receive any information about your use of that button, and Pinterest’s own privacy policy governs any data collected there.

Information from third parties. If you book a session, purchase a program, attend a Zoom session, or otherwise interact with Practice Better (our booking, payments, and client-portal provider), Fullscript (our supplement dispensary), Stripe (our payment processor), or Zoom (our virtual-session provider), those companies collect and manage information under their own privacy policies, and may share limited information back with us as needed to provide your service (for example, confirming a booking, a completed supplement order, or a completed payment).

2. How We Use Your Information

We use the information we collect to:

• provide, schedule, and follow up on the coaching, hypnosis/QHHT, NLP, Pilates, astrology, support-circle, and other services you request;
• respond to your questions and communicate with you about your sessions or account;
• maintain, secure, and improve our Site and services;
• understand overall (aggregate, non-identifying) trends in how visitors use our Site, using the analytics described above; and
• meet our legal, tax, and recordkeeping obligations.

We do not sell your personal information, and we do not sell your consumer health data (see our separate Consumer Health Data Privacy Policy for more on this).

3. How We Share Your Information

We share information only:

• with the service providers that help us run our business — currently Practice Better (bookings, payments, client portal), Fullscript (supplement dispensary), Zoom (virtual sessions), Stripe (payment processing), Google Workspace (our business email), Cloudflare (DNS, security, website hosting, and the Worker that powers our Wheel of Life email feature and contact form) — each of whom processes information on our behalf or under their own applicable terms;
• when required by law, legal process, or a government request;
• to protect the rights, safety, or property of Frey Wellness, our clients, or others; or
• with your consent, or as necessary to provide a service you’ve specifically requested.

We do not share your information with third parties for their own advertising or marketing purposes.

4. Data Retention

We retain client and session records for 7 years after your last session with us, to meet our recordkeeping, tax, and legal obligations. Other information (such as general Site analytics) is kept only for as long as reasonably necessary for the purpose it was collected, or until you request deletion — see Section 7 (Your rights).

5. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect the personal information we hold from loss, misuse, and unauthorized access. No method of transmission over the internet or method of electronic storage is 100% secure, so we cannot guarantee absolute security.

If a data breach affecting your personal information occurs, we will notify you as required under Washington law (RCW 19.255), which generally requires notice within the most expedient time possible and no later than 30 calendar days after we discover a breach involving your unencrypted personal information, and requires us to notify the Washington Attorney General as well if the breach affects more than 500 Washington residents.

6. Children’s Privacy

Our Site and services are not directed to, and are not intended for use by, children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us at FreyWellness@freywellness.com and we will delete it.

7. Your Rights

Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you, and to opt out of certain uses. You can make a request by emailing us at FreyWellness@freywellness.com or through our contact form. We will respond within a reasonable time and consistent with applicable law.

If you are a Washington resident (or your consumer health data was collected while you were in Washington), please see our separate Consumer Health Data Privacy Policy for the specific rights, response timelines, and appeal process that apply to consumer health data under the Washington My Health My Data Act (RCW 19.373).

8. Changes to This Policy

We may update this Privacy Policy from time to time. If we make changes, we will post the updated policy here with a new effective date. We encourage you to review this page periodically.
